This position provides complex administrative, program coordinating, and clerical support to the Office of Court Services. This position works independently, reporting major activities through periodic meetings. This position performs a variety of human resources duties. The incumbent performs a variety of administrative, accounting, and fiscal duties to assist in managing daily business and support operations. Monitors financial actions in FLAIR, pre-audits invoices and travel reimbursement requests, obtains bids for purchases, and monitors unit expenditures. Documents, researches, records, creates, edits, and processes incoming and outgoing correspondence. This position establishes and maintains working relationships with judicial and non-judicial State Courts System personnel, state staff, local government, and the public. Establishes and maintains files, books, records, and other departmental systems of responsibility. The incumbent performs clerical tasks such as processing incoming mail, scheduling meetings and maintaining calendars, processing travel reimbursements, filing, purchasing supplies, or copying. This position attends staff and other professional meetings to exchange information; attends technical or professional classes, workshops, or seminars to improve technical or professional skills. The incumbent supports a staff of 25 professionals. This position reports directly to the Chief of Court Services.

Education and Training Guidelines

Education: Refers to job specific training and education that is recommended for entry into the position.

Additional relevant experience may substitute for the recommended educational level on a year-for-year basis.

Bachelor’s degree.

Experience: Refers to the amount of related work experience that is recommended for entry into the position that would result in reasonable expectation that the person can perform the required tasks.

Additional relevant education may substitute for the recommended experience on a year-for-year basis, excluding supervisory experience.

Three years of work experience in business administration, office skills, or related field.

Competencies

Must have excellent communication and organizational skills.

Must understand the state budgeting process including the ability to navigate My Florida Market Place, FLAIR, and the P-card systems.

Must be proficient in Word and Excel.

Must have a complete knowledge and understanding of the State of Florida guidelines for travel and reimbursement.

Must have a strong commitment to customer service, both internal and external.

Must be able to work with different personality types, often under pressure.

Must be reliable and punctual.

Must be a team player.

Must be able to work independently with limited direction.

Must possess and practice excellent telephone etiquette.

This position requires some lifting and standing associated with copying, stocking supplies, producing meeting materials and the like.
